Paraphrasing is one of the most powerful and most underused communication tools in professional English — the act of restating what someone else has said in your own words to confirm understanding and create alignment.
In British business culture, paraphrasing is a mark of seniority. It signals you have listened carefully, processed what was said, and are precise enough to confirm before you act.
Core Paraphrasing Phrases
To paraphrase for understanding
"So what you're saying is [paraphrase] — is that right?"
"If I've understood correctly, the key point is [paraphrase] — does that capture it?"
To paraphrase a decision or agreement
"Just to capture the decision — we've agreed to [paraphrase], with [owner] leading by [date]. Is that right?"
"So the outcome of this discussion is [paraphrase] — shall I note that as the agreed action?"
To paraphrase instructions
"Just to make sure I've got this right — you'd like me to [paraphrase of task], by [deadline], with [specific requirement]. Is that correct?"
To paraphrase someone's argument
"So your view is that [paraphrase] — is that a fair summary?"
In writing — email follow-up
"Following our conversation, my understanding is that [paraphrase]. Please let me know if this doesn't reflect what we agreed."
The Paraphrasing Formula
- Signal phrase — "So what you're saying is..." / "If I've understood correctly..."
- Your paraphrase — restate the key point in your own words
- Confirmation request — "Is that right?" / "Does that capture it?"
What to Avoid
❌ Paraphrasing inaccurately without asking for confirmation
❌ Paraphrasing too literally — repeating exact words signals you haven't processed what was said
❌ Skipping the confirmation request — the check at the end is what makes the technique work
