How to Delegate Tasks Professionally in English
Delegation is one of the clearest markers of seniority. Junior professionals do tasks. Senior professionals decide who does tasks — and ensure those tasks are delivered to the right standard, on time, with full accountability.
Every effective delegation has three elements: what needs to be done, when it needs to be done, and what good looks like.
Phrases for Delegating Tasks
Delegating a task directly
"I'd like you to take the lead on [task]. The deadline is [date] and the expected output is [deliverable]. Does that work for you?"
"Could you take ownership of [task]? I'd like it completed by [date]. Let me know if you have any questions before you get started."
Delegating with context and rationale
"Given your background in [area], I think you're the right person to lead on [task]. Here's what I need: [deliverable] by [date]."
Delegating in a meeting
"[Name], can you pick this up? The next step is [action] — if you can come back to the group by [date] with a recommendation, that would be ideal."
Delegating by email
"As discussed, could you take ownership of [task]? Key requirements: [list]. Deadline: [date]. Please confirm you're happy to proceed and flag any concerns early."
Checking in without micromanaging
"Just checking in — how is [task] progressing? Is there anything you need from me?"
The Delegation Formula
- Task — what needs to be done, specifically
- Deadline — when it needs to be delivered
- Standard — what good looks like
- Open door — an invitation to ask questions or flag concerns early
What to Avoid
❌ Delegating without a deadline — "when you get a chance" is not a delegation
❌ Being too vague about the expected output
❌ Delegating and disappearing — availability for early questions prevents expensive late-stage problems
